What a cleaner invoice should show

A cleaner invoice is a standard UK invoice with the detail a letting agency or household expects: your name and address, a unique invoice number, the invoice date, the client name and the property or account reference, and the work itemised. List each clean with its hours or agreed price, and put cleaning products or supplies on their own line so the client can see the cost split between time and materials.

  • Regular clean — the fee for the standard visit, or hours at your rate.
  • Deep clean / end-of-tenancy — one-off jobs priced separately, with any agreed extras on their own lines.
  • Supplies — products or consumables you passed on, itemised so the client can approve them.

Reference the property address or the client account on every invoice. Letting agencies run dozens of invoices a week and match payments to a property reference — an invoice without one sits in a shared inbox until someone chases it.

End-of-tenancy cleaning invoices

End-of-tenancy cleaning is usually agreed against a check-out inventory, so list the areas covered and reference the tenancy or the check-out date on the invoice. If the landlord asks for a specific standard of cleaning, note the agreed scope on the invoice and hang on to any check-out report — it is the evidence if a deposit deduction is later disputed.

VAT for cleaners

Only VAT-registered cleaning businesses charge VAT. Most domestic cleaning is VAT-free because the business is below the £90,000 VAT threshold, so a cleaner usually issues an invoice with no VAT at all. If you are registered, tick the VAT box to add your VAT number and the rate, and the invoice shows the net, VAT and gross totals a VAT invoice needs. If you are not registered, leave the box unticked and no VAT appears.

Invoicing regular clients

For regular weekly or fortnightly visits, agree the pricing, the day and the payment terms once, then issue the same invoice each cycle. A fixed schedule makes the client’s bookkeeping predictable and your cash flow steady. If you pass on supplies, add the line only in the weeks you supplied them so the invoice stays honest.
