Per-delivery and multi-drop invoicing

Couriers and delivery drivers typically invoice in two ways: individual deliveries for one-off clients, and weekly or monthly account invoices for regular clients. The invoice tool works the same way — put each delivery or round on its own row, price it, and the totals fill themselves in.

  • Single delivery — pickup, dropoff, price, on its own line.
  • Multi-drop round — a set of drops priced together, with the number of drops shown.
  • Mileage — a per-mile charge for distance work, on its own line.
  • Fuel surcharge — a small percentage, agreed in advance, for when fuel prices spike.

For regular clients, agree a weekly billing cycle and invoice on the same day each week. The accounts department expects a single invoice with all deliveries listed, and the total matches their delivery budget for the week.

Account billing for regular clients

Regular courier clients usually have a purchase order number or account code that must appear on the invoice. Without it, the invoice sits in the accounts inbox until someone calls to ask what it is for. Put the reference on the invoice and it goes straight through.

VAT for couriers

Only VAT-registered businesses charge VAT. Many courier operators are above the £90,000 VAT threshold and must charge VAT on delivery fees. If you are registered, tick the VAT box and the invoice shows the net, VAT and gross totals a VAT invoice needs. If you are not registered, leave the box unticked and no VAT appears.

Records for self-assessment

Every invoice is income for your self-assessment return. Keep the PDFs, mark each one received once paid, and your income figure is the total of what you invoiced. If you claim mileage as an expense, keep a log of the miles — the invoice is the income side, the mileage log is the expense side.

Your name and trading name, your address, a unique invoice number, the invoice date, the client name and account reference, each delivery or round with its fare, mileage, the total and your payment details. VAT only if you are VAT-registered.

Should I bill per delivery or weekly?

Regular clients usually want a weekly account invoice with all deliveries listed. One-off clients get a single-delivery invoice.

How do I charge for mileage?
