Why labour and materials go on separate lines

Most trade invoices that get queried are queried for the same reason: a single lump sum that the customer cannot break down. Splitting labour, materials and the call-out fee onto separate lines solves it in one step — the customer can check the hours against the job and the parts against the cost, and each part can be approved without touching the other.

  • Labour — hours or days at your agreed rate.
  • Materials — parts and fittings, listed so the customer can see what was fitted.
  • Call-out fee — your charge for attending, where you make one.
  • Extras — anything outside the agreed scope, on its own line.

Reference the job number, address or purchase order the customer gave you. Landlords, letting agents and main contractors pay against a reference, and an invoice without one sits in a shared inbox until someone chases it.

Working as a subcontractor under CIS

If you take on construction work for a contractor, you may be paid under the Construction Industry Scheme. You bill your gross amount as normal, and the contractor deducts CIS tax before paying you. You are not issuing a CIS invoice as such — you issue a normal invoice showing your gross labour and materials, and the contractor's deduction and the monthly CIS statement are their side of the arrangement. If you are VAT-registered, remember the deduction applies to the labour element, not the VAT. Keep every statement you receive.

VAT for plumbers and heating engineers

Only VAT-registered businesses charge VAT. If you are registered, tick the VAT box to add your VAT number and the rate, and the invoice will show the net, VAT and gross totals that a VAT invoice needs. Some energy-saving materials and qualifying installations are charged at the reduced 5% rate, so set the correct rate on each line rather than defaulting everything to 20%. If you are not registered, leave the box unticked and no VAT appears.
