Self-employed invoicing, done simply

Self-employed people and sole traders do not need a limited company to bill clients — your own legal name can act as the business identity on every invoice. If you trade under a business name as well, show both: your name first, the trading name alongside it.

That single detail trips up more first invoices than anything else, and it is the one HMRC is most likely to care about.

Keep it compliant and easy to pay

Include your name, any trading name, your address, a unique invoice number, the invoice date and due date, an itemised list of what you did, the total, and how the client can pay. Refer to VAT only if you are registered.

Then make paying trivially easy: put your bank details or a payment link directly on the invoice. Every extra step between your client reading the invoice and sending the money is a place where the payment stalls.

Records and self-assessment

Every invoice you download here is a valid record of income for your self-assessment. Keep them — along with your expense receipts — for at least five tax years, six if you are VAT-registered. A folder of dated PDFs is genuinely all the record-keeping most sole traders need.

Do I need a company to send an invoice?

No. Self-employed people and sole traders can invoice under their own name without forming a limited company.

Should I show a trading name as well?

If you trade under a name other than your own, show both — your legal name alongside the trading name.

Should I charge VAT?

Only if you are VAT-registered. Otherwise do not charge VAT and do not show a VAT number.

How long should I keep my invoices?

At least five tax years, or six if you are VAT-registered. The PDFs you download here are valid records.

Where is my data stored?

Nowhere. It runs in your browser and is saved only as a local draft on your own device.
